The Opportunity
We are looking for a highly organized, detail-oriented, and bilingual Administrative Support Specialist to join our team in the Kuwait office. This critical role ensures the smooth and efficient processing of client files, documents, and application forms, directly supporting our Immigration Consultants and ensuring compliance with stringent program requirements.
Key Responsibilities
- Application Processing & Documentation:
- Meticulously prepare, compile, and review complex client application packages for various citizenship and residency by investment programs (e.g., Caribbean, European Golden Visas).
- Ensure all forms are completed accurately, fully, and in compliance with the relevant government and internal requirements.
- Handle confidential client information and documentation (passports, financial records, legal documents) with the utmost discretion.
- File Management & Tracking:
- Establish and maintain comprehensive physical and digital client files, ensuring all documents are correctly categorized, indexed, and easily retrievable.
- Track the status of all submitted applications, follow up on pending requirements, and proactively manage deadlines to keep the process on schedule.
- Maintain and update internal CRM/database systems with real-time progress of each client file.
- Administrative & Operational Support:
- Provide high-level administrative support to the Immigration Consultants and the Branch Manager.
- Manage office correspondence, answer phones, schedule client appointments, and organize meetings.
- Assist with general office management tasks, including ordering supplies and coordinating with couriers for document submission.
- Communication:
- Serve as a key point of contact for clients regarding document collection and status updates, providing professional and clear communication
Required Skills and Qualifications
- Experience: Minimum 2 years of proven administrative support, data entry, or file processing experience, preferably within a legal, financial, or immigration/visa services environment.
- Technical Proficiency: Excellent command of Microsoft Office Suite (Word, Excel, Outlook) and experience with CRM software is highly desirable.
- Attention to Detail: Exceptional precision and high attention to detail are non-negotiable for handling critical legal and personal documentation.
- Organizational Skills: Superior ability to manage multiple complex tasks, prioritize workload, and meet tight deadlines.
- Education: Bachelor’s degree in Business Administration, Office Management, or a related field is a plus.
